Effectief schrijven in het Engels

In 1940 schreef Winston Churchill een memo aan zijn staf met de boodschap “To do our work, we all have to read a mass of papers. Nearly all of them are far too long. This wastes time, while energy has to be spent in looking for the essential points. I ask my colleagues and their staff to see to it that their reports are shorter.” Churchill ging daarna door met het opzetten van strategieën om effectiever en efficiënter te communiceren.

Gelukkig hebben veel mensen niet dagelijks te maken met de fysieke gevolgen van oorlog, maar we vechten wel dagelijks met het schrijven en lezen van bergen e-mails en andere correspondentie.

Dus hoe schrijf je nu effectiever, in het bijzonder in het Engels?

1. Houd het onderwerp, het werkwoord en het lijdend voorwerp dichtbij elkaar
Dit helpt de lezer om de informatie beter te onthouden.

Vergelijk:

  • The impact that human rights have on people’s lives is enormous.
  • Human rights have an enormous impact on people’s lives.

2. Laat alle onnodige woorden of informatie achterwege
Gebruik de volgende kortere uitdrukkingen in plaats van de langere alternatieven:

In order to To
In the event that If
Subsequent to After
Prior to Before
Despite the fact that Although
In the light of Because, since
Owing to the fact that Because, since

  • This summary highlights some information from the document.

3. Gebruik werkwoorden in plaats van zelfstandige naamwoorden
Gebruik een werkwoord als je wil dat iemand iets gaat doen. Een werkwoord bevordert actie, een zelfstandig naamwoord bevestigt een status.

Vergelijk:

  • The bank will make a distribution of the shares to the shareholders.
  • The bank will distribute the shares to the shareholders.

En:

  • We will have a discussion about the strategy.
  • We will discuss the strategy.


4. Schrijf positief
Vertel je lezer wat je wil in plaats van wat je niet wil. De meeste mensen horen alleen het belangrijkste werkwoord en niet het woord ‘not’.

Vergelijk:

  • This product is not unlike any other on the market.
  • This product is similar to others on the market.

En:

  • Announcement in train: Please don’t forget to take your belongings when leaving the train.
  • Announcement in train: Please remember to take your belongings when leaving the train.

5. Gebruik bij voorkeur de actieve vorm
In een actieve zin weet je wie verantwoordelijk is voor een actie, bijvoorbeeld : I ate the apple. Een passieve zin legt de nadruk op wat er is gedaan in plaats van wie het doet, bijvoorbeeld: An apple was eaten.

In het merendeel van de gevallen werkt de actieve vorm beter dan de passieve vorm.

Vergelijk:

  • The marketing team managed the project successfully (and we want to celebrate that success). (Active voice)
  • The project was managed successfully (by whom? by the cleaning staff? the board of directors? By both the cleaning staff and the board of directors?)

En:

  • A red pen should be used to highlight the important information.
  • Use a red pen to highlight the important information.

6. Let op interpunctie
Vergelijk:

  • Let’s eat children. (The cannibal version.)
  • Let’s eat, children. (The vegetarian version.)

7. Vat de inhoud van een e-mail samen in de onderwerpregel
Dit bespaart de lezer tijd en wekt hopelijk zijn interesse.

Vergelijk:

To: HR
Cc: Board of Directors
Subject: Communication in emails

To: HR
Cc: Board of Directors
Subject: 10 options for effective written communication

8. Schrijf voor je publiek niet voor jezelf
Voor wie schrijf je? Voor een leek of voor een specialist? Begrijpt jouw lezer het vakjargon of is het beter om in gewoon Engels te schrijven?

9. Schrijf als in een krant niet als een misdaadroman
Begin met de belangrijkste informatie in het begin. Onthoud dat een e-mail of zakelijk rapport niet moet lijken op een moord mysterie waarbij de lezer moet raden waar het rapport over gaat of hints die het punt onthullen aan het einde.

10. Schrijf korte zinnen en paragrafen
Dit maakt het niet alleen eenvoudiger voor de lezer om de hoofdpunten te begrijpen, je maakt hierdoor ook minder grammaticale fouten.
